Job Description:

This position is responsible for performing, coordinating, and monitoring medical records administrative duties in direct support of Cardiology Associates of Greater Waterbury LLC. This position is responsible for maintaining up to date electronic medical records, and providing timely access to records for patients, providers, clinical staff, insurance carriers, and 3rd party audits for HEDIS AND Risk Adjustment, as well as other requests of outside facilities to meet the care needs of CAGW patients, referring providers, and payers in accordance with HIPAA guidelines and maintaining patient confidentiality. #
This position is responsible for performing, coordinating, and monitoring medical records administrative duties in direct support of Cardiology Associates of Greater Waterbury LLC. This position is responsible for maintaining up to date electronic medical records, and providing timely access to records for patients, providers, clinical staff, insurance carriers, and 3rd party audits for HEDIS AND Risk Adjustment, as well as other requests of outside facilities to meet the care needs of CAGW patients, referring providers, and payers in accordance with HIPAA guidelines and maintaining patient confidentiality.
RESPONSIBILITIES:
Responsible for answering medical records phone calls.
Expected to obtain necessary records from outside facilities, hospitals, testing departments, laboratories etc. to be able to fulfill requests.
Process documents into the EMR (Athena) labelling and distributing to the documents to requesting staff member, provider, or agency.
Process requests for medical records, internal and external, with appropriate release of information authorization.
Sort incoming paper documents, scan and or bar code appropriately to put into electronic medical record.
To work closely with medical assistants and assist with chart prep for upcoming office visits, obtaining records from Yale, HHC systems as needed.
To provide oversight of physician medical records needs and assist during benefit time of medical assistants in preparation for upcoming office visits.
To work closely with Clinical Operations Supervisor in coordination of medical assistant provider schedule assignments and alert supervisor of issues impacting record completion of physician's scheduled patients.
Other duties as assigned to meet the needs of the practice.
REQUIREMENTS:
Graduate of Medical Office/Administrative Assistant training program preferred.
Knowledge of Medical terminology.
Knowledge of HIPAA privacy rules and regulations.
Ability to establish and maintain effective working relationship with management team, physicians, staff, patients and outside facilities.
Ability to manage multiple tasks, work under pressure, and prioritize work.
Previous medical records experience preferred.
EMR experience, Athena experience preferred
Must be self-disciplined and be able to function independently and use good judgement.
Excellent interpersonal, verbal and written communication skills.
Must be able to work in a seated position for extended periods of time.
Must be able to accept additional responsibilities as appropriate.
